Administrative Assistant

We are looking for a driven and detail-oriented Administrative Assistant to support our operations team. This role focuses on coordinating communications with clients and vendors, assisting with billing and administrative tasks, preparing presentation materials, and ensuring day-to-day operations run smoothly. The ideal candidate is organized, reliable, and comfortable managing multiple priorities in a fast-paced environment while working closely with internal and external teams.
*Working Hours:*
Monday to Friday 15:00-23:00 CET
*Location:*
Remote and/or in Office
**Main Duties and Responsibilities**
- Oversee communications with clients and stakeholders, ensuring timely responses, clear next steps, and smooth information flow.
- Assist with billing activities, including invoice preparation, and basic tracking in internal systems.
- Prepare and maintain presentation boards and supporting materials using PowerPoint for meetings, reviews, and team discussions.
- Coordinate with internal teams and external stakeholders to support smooth communication and workflow.
- Maintain organized records of correspondence and billing details.
**Required Skills**
- Excellent organizational skills with the ability to manage multiple complex tasks within deadlines.
- Proficiency in MS Office and task management tools.
- Very good English communication and interpersonal skills.
- Ability to collaborate effectively with cross-functional teams while proactively taking initiative to ensure process accuracy and efficiency.
- Experience in administrative positions, project coordination, or other similar roles.
- Bachelor's degree in social sciences or relevant training is required.
