Procurement Manager

As Procurement Manager, you will report directly to the COO within ALCA’s Commercial Department and oversee the company’s procurement activities end-to-end. You will transform project requirements into supplier orders, manage supplier relationships, and continuously improve the procurement processes, systems, and standards that support ALCA’s operations. This is a hands-on role combining daily purchasing responsibilities with continuous process improvement. You will work closely with project, commercial, production, and finance teams to ensure materials are purchased competitively, delivered on time, and fully traceable through our ERP system. **Key Responsibilities** - Own and develop ALCA’s supplier relationships, serving as the primary point of contact for day-to-day operations while negotiating commercial terms and building long-term strategic partnerships through regular communication and periodic in-person visits. - Monitor supplier performance through regular evaluations, tracking quality, delivery reliability, responsiveness, and overall service levels, and regularly report performance to senior leadership. - Manage the full purchasing cycle, from purchase order creation through order confirmation, delivery follow-up, expediting, and resolution of non-conformities, ensuring complete traceability and high-quality procurement data within the ERP system. - Monitor open purchase orders against project schedules, proactively identifying delays and coordinating corrective actions with project managers and production teams. - Coordinate international shipments by obtaining freight quotations, confirming transport schedules, and tracking deliveries, working closely with the Finance team on customs and import documentation. - Coordinate with Finance to ensure proper controls between purchase orders, goods received, supplier invoices, and payment documentation. - Support the Commercial and Tender teams by maintaining accurate purchasing data, supplier price histories, and commercial conditions, contributing to competitive project pricing and cost analysis through comparisons between estimated and actual procurement costs. - Support indirect purchasing requirements across all company departments when needed. - Continuously improve procurement procedures, supplier records, reporting, and ERP workflows to increase efficiency, transparency, and data quality. **Requirements** - Degree in Industrial or Management Engineering, Economics, Business Administration, or a related field. - 3–5 years of experience in procurement or purchasing, ideally within construction, manufacturing, or other project-based industries. - Strong supplier relationship and negotiation skills. - Demonstrated ability to improve processes while maintaining reliable day-to-day operations. - Comfortable interpreting technical drawings, specifications, and bills of materials when coordinating with suppliers. - Familiarity with international shipping processes and Incoterms is considered a strong advantage. - Hands-on experience with ERP systems (Odoo is a plus) and strong Excel skills. - Excellent organizational skills, attention to detail, and discipline in following up on orders, deliveries, and deadlines. - Strong sense of ownership, accountability, and service towards internal stakeholders. - Willingness to travel periodically within Albania and Europe. - Fluency in Albanian and English.
